It is the primary responsibility of the Executive Assistant to provide a wide variety of routine and non-routine administrative duties including handling of highly confidential matters in support of executives based at MGM Resorts Japan in Tokyo. The Executive Assistant will focus on scheduling, travel, logistics, meeting planning, etc. The Executive Assistant may correspond on behalf of a handful of executives with key internal and external stakeholders (i.e. business partners, government officials, company executives, agents, consultants, etc.) daily.

All duties are to be performed in accordance with departmental and MGM Resorts International Operations policies, practices and procedures.

• Perform a variety of administrative duties for executives based in Tokyo.

• Monitor paperwork flow to make sure that timelines are met.

• Manage sophisticated calendar with numerous last-minute updates and conflicts.

• Schedule various meetings.

• Maintain excellent relationships with the executives’ business associates, keeping track of notable information and coordinating information for pre-meeting and pre-trip briefing sessions with the executives.

• Schedule meeting itineraries for the executives, including coordination with business partners, consultants, organizing meeting rooms and videoconferences.

• Take initiative to resolve problems and provide information requested in a service-oriented capacity, always ensuring quality service is provided to all co-workers, management and internal and external guests/customers.

• Handle situations where independent judgment is exercised, thereby relieving the executives of extraneous matters.

• Screen incoming calls and either assists caller when appropriate, forwards calls that can be handled by others and/or ascertains nature of calls put through to the executives.

• Schedule all required meetings and arrange for refreshments and any special requirements as necessary.

• Maintain confidential files and honor the integrity of all information.

• Manage and prioritize heavy volume of e-mails, including archiving and retrieval.

• Reconcile expenses and submit reimbursements for processing.

• Update and maintain the executives’ business associates’ contact details.

• Arrange the executives’ business associates’ hotel reservations in Las Vegas.

• Perform other job-related duties as requested.

Required:

• 1-5 years of previous experience working in an administrative capacity.

• Excellent customer service skills.

• Have interpersonal skills to deal effectively with all business contacts.

• Professional appearance and demeanor.

• Work varied shifts, including weekends and holidays.

• Native Japanese level; Able to effectively communicate in English, in both written and oral forms.

Preferred:

• Bachelor’s degree in communications, public affairs, government affairs, general management/business or a related field.

• Previous experience in government affairs.

• Previous experience managing complex travel itineraries.
