Summary: The Expo Unit Japan of the U.S. Consulate General in Osaka-Kobe is seeking eligible and qualified applicants for the position of Resource Coordination Assistant (Admin). This is a temporary position until December 2025. Work schedule: Full-Time (40 h/week).

Duties
The Expo Resource Coordination Assistant is the leading Expo Unit Japan (EUJ) locally employed (LE) staff responsible for providing administrative support and managing the human, financial, program, and property resources necessary to facilitate U.S. participation in Expo 2025 Osaka Kansai. Provides administrative support to the Expo Deputy Commission General (DCG), Public Affairs Officer (PAO), General Services Officer (GSO), and Expo Project Field Engineer (PFE) for all aspects of their daily work as well as for public engagement programs and activities. Oversees Expo Unit Japan time and attendance, staff travel, representation, vouchers, and other administrative tasks; manages program calendars and tracks impending deadlines. Helps track the use of multiple and diverse funding streams and ensures compliance with all relevant U.S. government (USG) regulations and Japanese laws. Manages the acquisition and use of Expo Unit Japan supplies, materials, and equipment. Serves as the primary liaison for the Expo Unit Japan with the Management Section and other consulate offices. Assists with language translations between English/Japanese and Japanese/English as needed, including familiarity with specific vocabulary as it relates to the pavilion, pavilion construction, housing, and management/finance. Assists as needed with press and media engagement operations and facilitating meetings, either at the Consulate or at off-site location(s). Serves as the primary point of contact for the Unit, ensuring that visitors receive accurate and timely information with the highest levels of customer service.
Serves as Grants Officer’s Representative (GOR) and Contracting Officer’s Representative (COR).
Qualifications and Evaluations
Requirements: For the experience and education requirements applicants must meet either option 1 or option 2.
Option 1:
Experience: At least two years of experience in administrative services, procurement, customer service, marketing/PR, business, or events management is required.
Education: A university degree in Business Administration, International Affairs, Financial Management, Organizational Management, Accounting, Public Administration, or related field is required.
Option 2:
Experience: At least four years of experience in administrative services, procurement, customer service, marketing/PR, business, or events management is required.
Education: At least two years of full time, post-secondary study at college/university or equivalent.
Knowledge: Knowledge of Japan’s geography, infrastructure, government institutions, and common business and banking practices is required. Knowledge of customer service practices is required. Basic computer skills.
Skills and Abilities: Analytic Skills: Must have analytic skills to manage funding from multiple sources, each with different requirements for purpose, oversight, and accounting. Must be able to accurately assess resource challenges and identify solutions, including those that address sensitive resource challenges. Must be able to perceive significant changes in operations and adjust operations in response.
Technical Skills: Good keyboarding and data entry skills are required; excellent familiarity with electronic discovery tools, in particular the internet, and standard information retrieval practices and procedures are required. , Ability to use various computer software programs, specifically Microsoft Word, Microsoft Excel, and databases, as well as specific software, databases, and reporting tools, is required. Ability to support use of digital and visual tools is required. Must have excellent numerical skills to be able to manipulate numbers with speed, process personnel and travel documents, develop equipment lists and supply orders, and monitor budgets.
