ACCJ HELPS fill the gap between large workplace & individual vaccinations

The ACCJ is working on arrangements with a third-party vendor to aid members in acquiring Covid-19 vaccinations (2 inoculations per participant) and to contribute to the overall acceleration of vaccinations in Japan. We are working quickly and are still confirming several points regarding our implementation of the program. Bookings and waitlist are now full - note that we may be unable to book any additional dates with the vendor. If we cannot put the program in place, we will inform registrants promptly and you will not be charged.
The ACCJ encourages all members to be proactive in obtaining a vaccination ticket through the municipalities of your residency for a government-ran vaccination when possible. The ACCJ offers this Small Group Appointments program as an alternative option to members targeting early July.
The focus of this program is ACCJ member companies requiring vaccinations for fewer than 50 people. This number can be comprised of ACCJ members, employees of ACCJ member companies, and their families. The ACCJ has identified this group as having a particular need for assistance, given their employment levels in Japan are too small to qualify for either the Workplace Vaccination Program or private group vaccinations (typically with a 50-shot minimum) contracted directly with a third-party supplier.

ACCJ SMALL GROUP VACCINATION DATES AND WAITLIST NOW FULLY BOOKED
First inoculation: Saturday July 3, 13:00-16:00, TKP Shimbashi Conference Center Hall 10C
Second inoculation: Sunday August 1, 13:00 - 16:00 TKP Shimbashi Conference Center Hall 10C / Hall 10G
By registering, you are committing to attend and receive inoculations on both dates, subject to penalties outlined in the Fees section below..
REGISTRATION DEADLINE: 6PM SUNDAY JUNE 27th - FULLY BOOKED
Registration will be on a first-come, first-served basis, limited to six blocks of 50 participants each (maximum 300 participants). The ACCJ does not commit to contracting any additional blocks in the future.
ACCJ is able to offer this for a fee of ¥4,400 per participant to cover the vendor’s administrative cost. Additional charges and penalties may apply as outlined below.
The manufacturer of the vaccine to be administered by proposed vendor TKP Occupational Vaccine Center is Moderna mRNA-1273.
The ACCJ is only facilitating the aggregation of interested individuals and accepts no liability related to the vaccination nor handle your medical records and vaccine ticket submission due to privacy concerns. Each participant will be required to sign a waiver releasing ACCJ from any liability as well as other documents as required by the vendor and government programs. You can review the waiver here.
HOW IT WORKS
ACCJ contracts & pre-pays private vaccinations in 50-person blocks (the vendor’s minimum). This includes two Moderna shots per participant, with 4 weeks between the shots.
ACCJ opens registration for members
At time of registration, you must provide the name, email address (or your own email address) of each participant that is over 18 years of age and is a registered resident under a municipality in Japan. We are unable to add, remove or change scheduled individuals after the registration deadline (6PM, Sunday June 27th).
All related fees for all participants you register will be charged to your ACCJ account (vendor costs only - no fees accrue to ACCJ). See below for a breakdown of fees.
Participants attend during their scheduled times Saturday July 3 13:00 - 16:00 at TKP Shimbashi Conference Center Hall 10C.
ACCJ will co-ordinate reception and confirmation at the vaccination facility.
Once received, municipal vaccination tickets must be forwarded by each participant to the vendor. The vaccination ticket is required for the vendor to obtain subsidies from the government ranging from ¥2,277 to ¥3,377 in payment for the vaccine. If the voucher is not received by the vendor, you will be charged an additional fee. You do not need to have the voucher prior to receiving your vaccination but are welcome to bring it in if you have already received it.
IMPORTANT NOTES
The ACCJ has no control over the timing of the vaccinations and vaccination appointments cannot be changed or rescheduled. We are essentially contracting for bulk vaccinations at a specific time and place.
The ACCJ cannot guarantee that this program will result in receiving a vaccination earlier than what might be possible through the Government of Japan / municipal government vaccination program.
FEES
All fees for all participants you register will be charged to your ACCJ account. We are unable to accept any other form of payment at this time. The ACCJ is passing all fees to the vendor and is not charging any additional fees for this program.
Each participant will incur a charge of ¥4,400 to pay for the vendor’s administration of the program.
Actual costs for the vaccination are paid to the vendor through the Municipal Vaccination Voucher system.
If a participant does not forward their voucher to the vendor, you will incur an additional (penalty) charge of ¥2,277 (as of June 23 and subject to increase by possibly ¥1,100). This is to compensate the vendor for their inability to recoup from the government the cost of the vaccination.
If a registered participant does not show up to be vaccinated, you will be charged the ¥4,400 fee and the penalty charge (above) for the unused appointment and vaccine. This is to compensate the vendor and the government for the unused appointment and vaccine.
As the ACCJ member, you are responsible for fees and charges incurred by each participant you register. All costs will be billed to your ACCJ account.
In order to mitigate the financial risk of pre-paying for 50-person blocks, the ACCJ will not issue any refunds after the registration deadline (6PM Sunday June 27th).
ABOUT THE VENDOR
The ACCJ has contracted with the TKP Occupational Vaccine Center to offer members the opportunity for small group private vaccinations. More information on TKP can be found here. If you require vaccinations for more than 50 people, we encourage you to contact TKP or another third-party vendor directly.
