Event Planning Manager

The American Chamber of Commerce in Japan (ACCJ) is looking for a mid-level talent to lead the planning and execution of events for the premier foreign business organization in Japan. The candidate must have exceptional event coordination, communication, client relations, and writing skills, and reside in Japan at the time of application. This role is also responsible for managing event support staff so people management experience is a must.

We are seeking a creative and motivated team player with a positive attitude who brings innovative ideas and takes initiative in a fast-paced and dynamic environment. This role is ideal for an experienced, proactive events professional.

This position is based in Tokyo - based out of the office, with occasional work from home and frequent onsite work at external venues (e.g., the Tokyo American Club).

Responsibilities:

  • Produce large-scale virtual, in-person, and hybrid events.

  • End-to-end project management from idea generation, execution, and post-event tasks.

  • Manage and supervise event support staff and external vendors.

  • Oversee budgets and ensure the financial success of all events.

  • Be the first line of contact to our members and manage committee relations.

  • Conduct e-surveys and provide post-event analytics.

  • Draft and send general correspondence on behalf of ACCJ leadership.

  • Collaborate with both internal teams and members to produce the best outcomes.

Qualifications:

  • Bachelor’s degree.

  • Minimum of 5 years of experience in professional event planning and execution. Experience in hotel banquet settings is a plus.

  • Minimum of 5 years of people management experience.

  • Proficiency in industry standards and protocols for top-tier events and experiences.

  • Creative, detail-oriented problem solver.

  • Ability to perform under pressure.

  • Strong people skills with a customer-service and member relations mindset.

  • A high degree of professionalism.

  • Ability to communicate effectively verbally and in writing.

  • Capacity to prioritize and multitask under a set timeline.

  • Strong organizational and logistical coordination skills.

  • MS Office (Word, Excel, PowerPoint) proficiency. Working knowledge of Cisco WebEx virtual platform and Google Suite products or other virtual platforms is a plus.

  • Either a native English or Japanese speaker with a professional level of the other language.
